Safeguarding Policy

1. Our Commitment

The Glasgow Youth Choir (GYC) is committed to creating a safe and supportive environment for all children and young people. We recognise that child welfare is paramount and that all children have the right to protection from abuse. This policy applies to all staff, volunteers, and anyone working with or on behalf of the choir.

2. Legal Framework

This policy follows:

  • Children and Young People (Scotland) Act 2014

  • Protection of Vulnerable Groups (Scotland) Act 2007

  • National Guidance for Child Protection in Scotland 2021

  • NSPCC guidance for voluntary organisations

DSO Responsibilities:

  • First point of contact for concerns

  • Ensure appropriate action is taken

  • Maintain safeguarding records

  • Liaise with statutory agencies

  • Oversee staff training

4. Safe Recruitment

All staff and volunteers must

  • Have PVG scheme membership (renewed every 3 years)

  • Receive basic safeguarding training before working with children

  • Understand and follow this policy

5. Code of Conduct

All staff and volunteers must:

  • Treat children with respect and dignity

  • Maintain appropriate boundaries

  • Use positive reinforcement

  • Be alert to signs of abuse

Physical Contact:

  • Keep minimal and appropriate to child’s needs

  • Always ask permission before any contact

  • Only in response to the child's needs. 

  • Context-specific: gentle physical cues (e.g., posture, help changing into uniform) may be used only when verbal instruction is insufficient, done professionally, briefly, and with explanation

  • Always in plain sight of others

  • Never involve physical punishment, tickling, or unnecessary contact

Communications:

  • Keep open and transparent and professional

  • Avoid private communications with individual children

  • Include parents/carers in communications where possible

  • Copy individual communications to parents and DSO

Unacceptable Behaviours - Never:

  • Engage in rough play or inappropriate language

  • Give individual gifts or money

  • Take children to on trips ot to their home without proper authorisation

  • Allow children to stay overnight at their houses

6. Creating Safe Environments

Physical Safety:

  • Maintain supervision ratios (1:8 for under 8s, 1:10 for 8-18s)

  • Ensure clear sight lines in all spaces

  • Provide separate changing facilities

  • Risk assess all activities

Photography/Filming:

  • Obtain written parental consent

  • Use images only for agreed purposes

  • No individual identification without specific consent

  • Store images securely

Online Safety:

  • All online communication should occur via official choir channels (e.g., group emails, approved choir WhatsApp groups, or managed social media accounts).

  • Private or one-to-one online communication between staff/volunteers and members is highly discouraged.

  • Exceptions may only be made where a safeguarding issue arises that cannot appropriately or safely be discussed within a group chat. In such cases:

    • The communication should be kept factual and brief;

    • The DSO and/or parent/carer should be informed as soon as possible; and

    • A record of the exchange should be retained in line with this policy’s recording procedures.

  • Staff must not accept or initiate friend or follow requests from choir members on personal social media accounts.

  • Any use of WhatsApp must be restricted to approved group chats that include at least one other adult (e.g., DSO, choir leader, or parent volunteer).

  • Always maintain professionalism and uphold safeguarding principles in all online and digital interactions.

  • Obtain consent for online activities

  • Use waiting rooms for online sessions

7. Recognising and Responding to Concerns

Signs to watch for:

  • Unexplained injuries or behaviour changes

  • Withdrawal from activities

  • Inappropriate sexual behaviour/knowledge

  • Persistent absences

  • Fear of particular adults

If you have concerns:

  1. Ensure child's immediate safety

  2. Listen carefully, don't investigate

  3. Reassure but don't promise confidentiality

  4. Record immediately

  5. Report to DSO as soon as possible

  6. If DSO unavailable, contact Deputy DSO or emergency services

8. Recording and Information Sharing

  • Use Safeguarding Incident Report Form for all concerns

  • Include date, time, location, people involved, observations, actions taken

  • Store records securely with restricted access

  • Share information on 'need to know' basis only

  • Follow data protection principles

9. Working with Parents

  • Share safeguarding policy with all families

  • Maintain regular communication

  • Discuss concerns with parents unless this increases risk

  • Encourage parental involvement in activities

10. Allegations Against Staff

If allegation made against staff member:

  • Suspend person immediately pending investigation

  • Report to Local Authority Designated Officer (LADO)

  • Contact police if criminal offence suspected

  • Maintain detailed records

  • Cooperate fully with investigations

11. Training Requirements

All personnel receive:

  • Basic safeguarding awareness training

  • Annual refresher training

  • Copy of this policy

  • Role-specific briefing

13. Safeguarding Complaint-Handling Steps
